Advising Specialist – TRIO SSS TOP



JOB TITLE:  SSS Advising Specialist – Transfer Opportunity Program

RESPONSIBLE TO: Student Support Services Director

GENERAL DESCRIPTION: The SSS TOP Advising Specialist provides comprehensive academic advising, mentoring, educational seminars and workshops to enrolled TOP students.  The SSS TOP Advising Specialist also coordinates the TOP Peer Tutoring program.

Examples of Duties


Academic and Transfer Advising

  • Provide effective academic, personal, and financial advising, teaching students academic planning skills to encourage self-reliant, successful students.
  • Maintain current knowledge of UCC transfer programs and academic requirements and admissions and degree requirements for Oregon colleges and universities.
  • Conduct transfer assessment for newly selected TOP participants and develop individualized Student Success Plan for UCC degree/transfer seeking students.
  • Refer students to the appropriate professionals for services related to counseling.

Student Activities and Workshops

  • Assist students and provide information on the financial aid process, including sources such as scholarships and limitations.
  • Organize, coordinate, and evaluate workshops/activities designed to enhance four-year college transfer.
  • Lead small group activities related to college success, planning college finances, and career exploration.
  • Develop, organize, and lead campus visits and cultural events for TOP students.

Recruitment, and Onboarding

  • Assist with the recruitment of eligible students to TOP.
  • Participates in weekly intake screening for new TOP applicants, weekly participant and program review staff meetings, and weekly career/advising center meetings as directed.
  • Assists the director with recruiting qualified personnel for Peer Tutor Program.

Administrative tasks

  • Prepares and submits program activity and outcome reports in a timely manner.
  • Maintains and keeps current Student Transfer Plans and monitors and tracks TOP participants in collaboration with TOP staff.
  • Assists director with planning and implementation of the orientation and training of Peer Tutors.
  • Creates and monitors Peer Tutor matches, reporting progress or changes to TOP staff in a timely manner.
  • Accurately entering student participant grant data information.
  • Working willingly as a team member, performing other duties as assigned by Director


  • Primarily indoor office working environment. 
  • Current office design may require employee to bend, lift, stoop, crouch, and perform similar functions while performing essential and other job functions.
  • Is required to be able to perform these movements without a significant risk of injury, with or without accommodations, or to otherwise demonstrate or explain how performance of these functions is possible.


  • Knowledge of Oregon public and private universities.
  • Ability to relate to individuals from diverse social, economic, and cultural backgrounds.
  • Preparation of small group, presentation, and workshop materials.
  • Ability to relate to students.
  • Strong listening, oral, written and presentation communication skills.                              
  • Ability to research and stay current with other college/university academic requirements in order to provide accurate advising assistance to transfer students.
  • Experience providing training and speaking in front of groups.
  •  Demonstrated effective human relations skills.
  • Available to work on some evenings and weekend activities.
  • Ability to work as a team member and develop cooperative working relationships.
  • Demonstrated flexibility to adjust to change and coordinate multiple projects.
  • Proficient knowledge Microsoft Office and student information systems.
  • Ability to work independently to organize, set priorities, meet deadlines and follow through on details to completion.



  • Bachelor’s in social science, education, human services, communication or similar field. 
  • Proven written and oral communication skills.
  • Demonstrated sensitivity and experience working with students and/or individuals from diverse social, economic, academic, and cultural backgrounds.
  • Experience developing and presenting courses, workshops, and/or trainings.
  • Working knowledge of current computer software and internet processes. 


  • College advising experience
  • Experience coordinating tutoring or mentoring programs
